About Scholars Day

Scholars Day showcases the diversity and growth of scholarly pursuits at Baylor Scott & White Health’s Central Texas Division.  Scholarly activity—medical innovation, clinical vignettes, research, health systems science, quality improvement, healthcare economics, and much more—is shared via electronic posters and podium presentations. A new podium presentation category, the Excellence Awards, will feature four projects nominated by physician-training residency and fellowship Program Directors with final selections made by the Scholarship Committee. Please join us in building collaborations and bringing together all departments and scholarship types.

Abstract Eligibility and Selection Process

Overview

  • Scholars Day features presentations of all types of scholarship—medical innovation, clinical vignettes, research, health systems science, quality improvement and healthcare economics to name a few.
  • The event features electronic Poster Presentations, Select Podium Presentations, Rapid-Fire Presentations, and Excellence Award Presentations.
  • Presentation of scholarly activity is reserved for individuals in the Central Texas Division at Baylor Scott & White Health.
  • All podium presentations (Select, Rapid-Fire, and Excellence Awards) are reserved for trainees.
  • Excellence Awardees will receive a GME Scholarly Activity Travel Award to support the presentation of the project at a national meeting.
  • Abstracts for Select Podium, Rapid-Fire, and Poster Presentations must be submitted by March 4, 2019. The Excellence Awards are managed through a different process.
  • All podium presentations are eligible to be published in a BUMC Proceedings feature, if journal requirements are met.
  • Accommodations, if available, are for podium presentations requiring a unique display (i.e. TV, need to show motion). Please note special accommodations needed, in addition to computer and projector, on abstract submission form.
  • Abstracts not chosen for a podium presentation are automatically included as an Electronic Poster Presentation.
  • You may submit an abstract for previously presented projects. No exclusions apply.

Select and Rapid-Fire Podium Presentations

Individuals interested in competing for a podium presentation are encouraged to submit to this category. Abstracts are evaluated by a committee, and selections are announced March 29, 2019. The top 12 scored abstracts are chosen as Select Podium Presentations, and the subsequent 24 abstracts are placed in the Rapid-Fire Presentation category. All podium presentations are eligible to be published in a BUMC Proceedings feature, if journal requirements are met. Abstracts not selected for a podium presentation are automatically placed in an Electronic Poster Presentation session.

Eligibility

  • Podium presentations are reserved for trainees in the Central Texas Division at Baylor Scott & White Health.
  • Trainees include, but are not limited to, junior faculty, residents, medical fellows, postdoctoral fellows, medical students, nurses and nursing students.
  • Only one abstract submission per person is accepted.
 

Selection Information

  • The top 12 scored abstracts are chosen as Select Podium Presentations, and the subsequent 24 abstracts are placed in the Rapid-Fire Presentation category.
  • Submitted abstracts are reviewed and selected for podium presentation by a selection committee.
  • To be eligible to present a podium presentation, you must complete an abstract submission form by March 4, 2019. Note that the abstract submission form does not include an option for Rapid-Fire Presentation. All the podium abstracts are reviewed and selected for Rapid-Fire and Select Podium presentations.
  • Selected podium presenters are notified via email on March 29, 2019
  • If not selected for a podium presentation, your abstract is automatically placed in an Electronic Poster Presentation session, and you are notified with further instructions.

Electronic Poster Presentations

New this year—posters are displayed electronically, and presentations are limited to 3 minutes. Posters will not be judged but are moderated. Posters are limited to one PDF page.

Eligibility

  • Electronic Poster Presentations are reserved for individuals in the Central Texas Division at Baylor Scott & White Health.
  • Posters can be former submissions to national meetings or department programs. Already completed posters do not need to be re-created.
  • Only one abstract submission per person is accepted.
 

Selection Information

  • To present a poster, complete an abstract submission form by March 4, 2019.
  • All abstract submissions for an Electronic Poster Presentation are accepted.
  • Poster presenters will be notified via email on March 29, 2019.

 

Can I submit an abstract for both a podium presentation and a poster presentation?

No, only one abstract submission per person is accepted. However, those not selected for a podium presentation are automatically placed in a poster session. If you do not want to compete for a podium presentation, you may select the poster presentation option on the abstract submission form. Poster session assignment will be announced on March 29, 2019.


Is there a limit on the number of abstract submissions made by a primary author?

Yes, only one abstract will be allowed per primary author. There is no limit on the number of co-authorships (or appearing as a contributor). Primary authors are allowed to participate in either a podium presentation or poster session, not both.


Are there any formatting considerations when I prepare my abstract?

Any special formatting — boldunderlineitalicssuperscriptsubscript, etc.— will be lost when you copy and paste your abstract into the abstract submission form. Use plain text, and limit the word count to 500.


How long and what format should a podium presentation be?

Select Podium Presentations consist of a 10-minute PowerPoint presentation and a 5-minute Q&A. Rapid-Fire Presentations consist of a 5-minute PowerPoint presentation and a 2-minute Q&A. Excellence Award Presentations consist of a14-minute PowerPoint presentation and a 5-minute Q&A. Electronic Poster Presentations consist of a 3-minute presentation. If selected to give a presentation, specific details will be provided (i.e. presentation format, expected order of presenters, available audio). Please specify whether special equipment is needed to display a project. If available, accommodations are provided. All selection notifications are made on March 29, 2019.


What are the selection criteria for my abstract?

Abstracts are selected for a podium presentation by a selection committee of volunteer faculty.


Will posters be judged?

Poster sessions are not judged. Presenters must present their poster during their assigned poster session.

Scholars Day is at the Texas A&M Medical Education Center on the Baylor Scott & White Medical Center – Temple campus. Presentations are in the Mayborn Auditorium and classrooms.

The Baylor Scott & White Medical Center – Temple campus encompasses many hospital buildings, programs and office buildings. A variety of parking options are available, including valet.
